Jobing Description
The Administrative Assistant will provide administrative support to the Director and department of Performance, Quality, and Effectiveness. Supports team and coordinates day-to-day operations, collects information as needed for reports and correspondence, schedules meetings, database management, literature searches and other clerical tasks such as scheduling, copying, and other projects as assigned. Handles details of a confidential nature and operates with latitude for independent judgment and initiative.

„« Provides direct administrative assistance to designated executive staff, such as, scheduling, filing, coordinating, correspondence, attending meeting as requested, and recording minutes, as necessary.
„« Prepares or assists in data entry, database management and the preparation of reports.
„« Participates in or provides leadership for special projects, as assigned.
„« Provides administrative assistance and supports the work of the Performance, Quality, and Effectiveness staff, as indicated.
„« Maintains excellent customer service skills to consumers, Jefferson Center staff, and the community.
„« Exhibits enthusiasm, courtesy, adaptability, flexibility, and spirit of cooperation in the work environment.
„« Maintains effective interpersonal relationships with consumers, peers, subordinates, upper management, visitors and the general public.
„« Effectively responds to needs and problems, initiates and maintains positive interactions, timely response to phone calls, pages, email and other requests.
„« Ability to multi-task, to prioritize concerns, and effectively manage time independently.
„« Attends mandatory in-services, compliance with individualized training plan if required.
„« Participates in supervision by coming prepared with an agenda. Reports problems, and utilizes a problem solving approach as well as feedback. Attends supervision at times and intervals agreed upon with supervisor.
„« Works cooperatively with other community agencies and volunteers to work on Center committees and/or task forces, as appropriate, and in agreement with supervisors.


Skills / Requirements
High school graduate plus six (6) years relevant experience, including three (3) years as an Administrative Assistant or equivalent. Two years advanced education may be substituted for one year of experience; four year college degree may be substituted for four years experience. Requires broad knowledge of organizational operations and policy and a high level of experience, discretion and technical skill; ability to accurately enter data; word processing/typing at a level of40 WPM; excellent organizational skills; highly efficient, strong communication skills both verbal and written; excellent customer service skills; must work efficiently, independently and as a team player. Computer skills should include proficiency in Microsoft Word and Excel. Experience working with databases and programs that support statistical analysis would be a plus.
