Job Description

Job Summary
Key member of the National Pool Pilot Team doing various scheduling and administrative tasks that are critical to supporting assigned pilots in covering company staffing priorities.

Essential Functions and Responsibilities
Monitor various reports to determine pool pilot assignments
Monitor the pilot schedule, book all pilot travel arrangements, and communicate required information to the pool pilots regarding their scheduled assignments
Monitor and audit all pool pilot travel expense, create reports and communicate budget variances to Area Manager
Serve as the main point of communication with Area Manager, and pilots on scheduling processes, and scheduling changes
Provide administrative support to the pool pilots
Monitor training requirements for the pool pilots and communicate required training to the Aviation Training Manager
Monitor the medical certificates required for the pool pilots, communicate upcoming medical requirements to the pool pilots and alert the Area Manager of pool pilots approaching medical expiration
Capture established data points from various pool team members.  Create and distribute various weekly and monthly metrics that monitor the KPIs of the national pilot pool
Review and audit expense reports, coordinate with leadership as required resolving discrepancies and coordinating with the appropriate level of leadership for approval
Assist the Area Manager in managing and adjusting the pool pilot schedules and time sheets in the computerized pay system
Other duties as assigned

Education & Experience
High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
Knowledge of commonly-used concepts, practices, and procedures with the department’s field

Skills
Ability to multi-task in a fast paced, constantly changing environment
Advanced customer service and phone skills
Excellent organizational skills, detail oriented, ability to prioritize and multi-task and meet deadlines
Excellent communication, both written and verbal
Ability to be a team player with a professional attitude

Computer Skills
Advanced with Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
