Description

Arapahoe County Department of Human Services is currently hiring for a Business Associate II position working for the Child and Adult Protection Services (CAPS) Division. The Child and Adult Protection Services Division provides protective services to children and teens, as well as foster care, adoption, adolescent services, court-ordered evaluations for parental rights following separation and divorce, teen parent programs and other services that help create strong, effective families.


The Business Associate II position provides a variety of complex secretarial/clerical functions including but not limited coverage of the front desk/reception area, answering and assisting callers (internally and externally), providing support services for caseworkers, supervisors and administrators.  Attends internal meetings such as RED Team, coordinates and ensures delivery of daily Court Reports to the Courts, maintains and orders office supplies for the division, sorting and delivery of mail daily.  Knowledgeable on TTY software and multiple types of office equipment to include multifunctional devices, telephone equipment, copiers, printers and electronic fingerprinting machines.

This is a temporary grant funded position with benefits.

Duties

Attends all internal meetings, including Red Team and all mandatory staff meetings.
 
Coordinates and ensures delivery of daily Court Reports to the Courts.
 
Assess customer needs and makes appropriate referrals to services and assistance available in the department and/or the community.
 
Provides customer service to internal and external customers including other agencies.
 
Courteously and effectively greets the customers/visitors as well as co-workers.
 
Maintains the CAPS supply inventory by ordering and tracking required supplies for both the CenterPoint location and the CAPS office located at the Justice Center.
 
Attends various meetings and accurately and thoroughly records information, utilizing Microsoft WORD, the ICM data base or any other computer system.   
 
Displays excellent attention to detail and ensures work spaces are prepared for new hires including maintaining mail centers. 
 
Assists clients and staff at the front desk by reaching caseworkers, supervisors and/or administrators when necessary appointments and other issues as needed.  Provides general clerical support such as typing, copying documents, answering and returning telephone calls, filing, correlating information/placement  packets, creating new 6-part case files, date-stamping documents. 
 
Correlating information required for ordering office supplies, assisting with the distribution of mail, faxes and supplies, and other duties as assigned.  Assist staff with digital fingerprints for potential kinship or foster care providers.
 
Steps in and provides coverage for other teammates' absences in the unit which may include coverage of the front desk/reception and coverage of internal meetings/tasks associated with the meeting.
 
Completes all assigned projects on time. Independently plans, reserves time, and acquires necessary resources in order to complete the assignment by the established deadline.
 
Performs other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:
 
Knowledge of Federal, State, County policies and procedures for Human Services and the Child Welfare Division.
 
Ability to research, organize and prioritize the workload through sound decision and judgment.
 
Ability to accept and adapt to changes in work environment, assignments and program requirements.
 
Ability to effectively work independently and as a team member.
 
Ability to problem solve.
 
Ability to communicate effectively both verbally and in writing.
 
Knowledge of  software to include Windows, Excel, WORD.  Ability to learn various computer software applications, i.e., TRAILS, and ICM.
 
Knowledge of basic office procedures and practices, including the operating office machinery/equipment and alpha/numeric filing systems.
 
Ability to work in a high volume, high stress environment.

Requirements

EDUCATION:
 
High School Diploma/GED required.
 
EXPERIENCE:
 
Two (2) years of general clerical experience, preferably with public contact. (BA or BS can substitute for experience.)
 
(An equivalent combination of education and work experience that satisfy the requirements of the job may be sufficient).

PREFERRED QUALIFICATIONS: 

Ability to speak additional languages is a plus; please indicate on your application.

Supplemental Information

Must also successfully pass pre-employment criminal background and motor vehicle check and post-employment fingerprint check.

Must possess and maintain a valid Colorado driver's license.

Reliable transportation is required as you will be required to use your own vehicle to deliver reports to the Arapahoe County Justice Center daily.  You will be reimbursed for mileage.
