The Scheduling Supervisor is responsible for the coordination of daily activities and key functions within the scheduling and pre-registration area. These functions include planning, organizing, monitoring, and coordinating daily departmental workflow as appropriate and acting as a resource for Patient Access’s employees and other hospital departments. The Scheduling Supervisor will assist in optimizing workflows, API Time-Keeping System, staff scheduling and Service Excellence Evaluation duties.


Education Or Formal Training

High school diploma or equivalent preferred.

College coursework preferred.

Completion of formal classes in supervision preferred.

Formal supervisory skill training required within first year of employment.

Ability to problem solve and appropriately handle stressful situations.

Ability to exercise tact, judgment and persuasiveness in creating and maintaining harmonious relations in working with coworkers, patients, families, visitors, physicians, and the general public.

Excellent interpersonal, public relation, teamwork and communication skills required.

Must be detail-oriented, self-motivated, have excellent organizational skills with the ability to consistently prioritize, meet changing deadlines, troubleshoot problems and collect and coordinate data in an accurate, thorough and timely manner.

Must have the ability to work independently, efficiently and cooperatively with minimal supervision.

Must have the ability to respect, accept and follow the direction of the Director and Manager and accept constructive criticism and/or any part of the disciplinary process with a positive attitude and a willingness to recognize, improve, correct or change behavior, work habits, communication style, etc.

Possess a thorough knowledge of departmental policies and procedures as well as hospital systems.



References indicating a successful track record of professional interpersonal relationships required.

Two years’ experience in Scheduling/Admissions/Insurance and Billing preferred.

Training and supervisory experience preferred.




Supervise Admission personnel in the scheduling and pre-registration area, as designated by the Patient Access Manager.

Complete required Service Excellence Evaluations on designated employees on an annual basis.

Interview and hire new staff members in the scheduling and pre-registration area

Complete Corrective Action Counseling Records for any designated employees in need of disciplinary action.

Enter Kronos Time-Keeping System changes and updates, while monitoring designated employees for compliance with the BCH and Admission Department Attendance Policy. Must maintain a system for tracking missed punches, unscheduled and scheduled time off requests and any other corrections.

Required to carry assigned pager during work hours, to act as a resource for designated employees and other hospital departments.

May be asked to carry assigned pager on an on-call basis, as designated by the Patient Access Manager, to act as a resource for designated employees and other hospital departments, and to be available for coverage as needed.

Coordinate with Admission Supervisors and Leads the coverage of the departmental duties during times of absence.

Work with Patient Access management and staff to review, develop and update competencies on an annual basis for designated area.

Participate in regularly scheduled Admission meetings as assigned, and other beneficial committees and/or meetings as assigned by the Patient Access Manager.

Conduct periodic Quality Assurance checks on all staff to ensure staff continues to meet guidelines set forth in their job description.

Develop and maintain a monthly schedule for designated staff. Provide coverage for meals, breaks, vacations and sick calls within the guidelines of departmental policy, as needed.

Create a system for ordering and stocking supplies needed for assigned area.
