Information gathering and management is crucial for effective policing.  The Greeley Police Department Records Division is committed to practicing sound records management through teamwork, technology, and individual pride by collecting, processing, maintaining, and disseminating information in a timely, appropriate, and consistent manner to the citizens of our community, the employees of the Greeley Police Department, and our law enforcement partners at large.  We are currently seeking Police Records Data Coordinators to become a part of our team and support the department's policing strategies. 

The Records Division is a fast paced environment offering diverse job responsibilities and tasks.  Assignments rotate, providing employees variety and expertise across the spectrum of the police records function.  We're looking for candidates with a strong desire to become meaningful members of our team who provide support and information to law enforcement professionals, the community, and the nation at large.

Examples of What We Do:
  • Transcribe digital recordings of police reports into the records management system.
  • Process written reports, forms, and documents verifying information is complete and accurate, forwarding these to our partnering criminal justice  agencies appropriately.
  • Respond to requests and inquiries for service(s) from internal and external customers, either in person, by telephone or electronic messaging.
  • Maintain warrant records for the majority of the courts within Weld County (municipal and state jurisdictions).

The police records section operates 24/7/365 in support of law enforcement officials city, state, and nationwide.  As such, the successful candidate will need to be available to work a schedule encompassing any of these time frames.  Overnight shifts, weekends, and holidays may be required if scheduled work days/hours fall accordingly. 

We're excited to welcome team members with the "right stuff" to support our law enforcement officers and criminal justice partners.  As such, we require a basic written exam and skills test to ensure candidates have the skills necessary.  Please see the testing information at the bottom of this posting for instructions on where and how to test.  Having testing anxiety?  Don't - this step simply allows us to ensure you know what we expect, and that we in turn, see what you have to offer.  Let's do this together! 

Required Testing: In addition to submitting an application, all applicants must pass a written test and skills assessment for further consideration.
  • Location: City Hall, 2nd Floor, Human Resources Department, 1000 10th Street Greeley, CO 80631.
  • Testing Dates/Times: Testing will run Mondays - Fridays, 9:00 am - 3:00 pm - duration of test - 1 hour.
  • Registration: Walk-in only - no appointment needed - come in between the above timeframe.
  • NOTE: Upon successful completion of the written test, applicants will be scheduled for computer and keyboarding proficiency testing.

Experience, Knowledge, Skills

  • 1-3 years increasingly responsible administrative support experience;
  • Intermediate-level computer skills using Microsoft Word, Excel, and Outlook (will be tested);
    Excellent data entry skills and proficient typing skills. (will be tested);
  • Excellent knowledge of correct grammar, spelling and punctuation;
  • Experience working with public and high degree of customer services skills;
  • English/Spanish bilingual skills preferred.

Essential Functions

  • Communicate effectively, both verbally and in writing;
    Accurately and efficiently enter information into a terminal, PC, or other keyboard device;
  • Effectively work at multiple tasks and meet deadlines under pressure and with constant interruptions;
  • Learn the organization, procedures and operating details of the department/division;
  • Perform routine clerical work including the maintenance of appropriate records and preparation of reports;
  • Understand and carry out verbal and written directions;
  • Perform basic mathematical calculations;
  • Type at a speed necessary for adequate job performance;
  • Establish and maintain effective work relationships with City staff and the public.

Work Environment and Physical Requirements

Working Environment:
  • Heavy public contact in person and by telephone;
  • Works primarily in an office environment;
  • Extended periods of time at a fixed work station;
  • Frequent and inflexible deadlines.
Physical Requirements:
  • Vision enough to read computer keyboards, reference books, and other written documents;
  • Communication skills to interface with other departments and agencies;
  • Manual dexterity enough to operate computer keyboards, other office equipment, and to complete paperwork.
