GENERAL PURPOSE OF THE POSITION:

Responsible for performing a variety of Records Department support duties including prepping and scanning teller work, loan records, real estate files, titles, and Credit Union documents and records. Ensures that scanned records are in the system accurately and accessible to Credit Union personnel promptly. Collects title paperwork from Credit Union branch staff, verifies it for accuracy and completeness, and forwards documents to various county and state motor vehicle agencies for processing. Follows up routinely with Credit Union personnel, dealerships, other financial institutions, and credit union members for missing or corrected documents, using a variety of communication channels. Maintains and updates files, and researches and resolves recordkeeping errors and discrepancies. Completes assigned reports and documents.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. May perform other duties as requested or assigned.

  • Gathers required documents for lien perfections and verifies information is correct. Submits the paperwork to the counties for lien perfection on titles for consumer loans.
  • Preps documents for scanning and places documents in correct order for scanning and indexing into optical system.
  • Scans loan documents, teller work, membership applications, real estate records, titles, mortgage, and miscellaneous paperwork as assigned. Ensures that all paperwork is scanned accurately and is easily accessible on the Imaging System. Follows designated scanning order according to established priorities.
  • Ensures that prepping and scanning processes are completed in accordance with established Credit Union policies and procedures.
  • Maintains, updates, and purges files and records as appropriate.
  • Responds to questions from members and Credit Union personnel. Researches information, and resolves problems, errors, or discrepancies in records.
  • Ensures that scanning functions are performed in accordance with Credit Union policies and procedures.
  • Identifies and indexes documents that cannot be read and ensures that they are filed in the correct location.
  • Ensures that reports and documents are accurate, up-to-date, and completed within established deadlines.
  • Obtains and conveys information as needed. Answers questions and resolves problems promptly and courteously.
  • Assists related departments as needed.
  • Supports all Records Department personnel as needed.
  • Keeps management informed of area activities and of any significant problems.
  • Attends and participates in meetings as required.
  • Maintains member confidentiality.
  • Maintains and projects the Credit Union's professional reputation.
  • Provides excellent service by demonstrating courtesy and personal concern for the needs of members and co-workers and follows-up to ensure those needs are met.

QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); or six months to one year related experience and/or training; or equivalent combination of education and experience.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

 

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

 

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

OTHER SKILLS and ABILITIES:

Knowledge of Imaging Systems processes and scanning equipment.

Able to use related PC applications.

Knowledge of Credit Union computer system and other related computer applications.

Ability to apply oral and interpersonal skills that develop member confidence, respect and trust in Credit Union of Colorado and develop cooperative relationships with all levels of people throughout the organization.
