Job Description


The Foster Care Coordinator oversees and develops all aspects of the Foster Care Program in its entirety including cultivating relationships with foster families, placing animals with appropriate foster volunteers and maintaining communication throughout the foster period. 


  • Recruit, train, mentor, and serve as primary contact for foster volunteers.
  • Maintain and cultivate relationships with all foster volunteers.
  • Place foster animal candidates with appropriate foster volunteers based on their skills and situation, in accordance with the foster care guidelines.
  • Coordinate and oversee pick up and return of foster animals; assuring foster volunteers have all the necessary supplies, paperwork and information regarding the foster animal.
  • Assist with maintaining care and weight checks of immature animals while waiting for foster care.
  • Assist foster volunteers during the foster process, answering questions and providing support as necessary, including helping foster volunteers with difficult times and decisions, such as death, etc. Provide ongoing assistance, coaching and moral support to foster volunteers.
  • Manage the foster volunteer database using Volgistics software. Maintains appropriate records in database on volunteers and keeps records up to date, including communication and the current status of volunteers. Performs data entry as required, such as manually entering in volunteer hours.
  • Provide appropriate training for foster volunteers, including but not limited to Foster Volunteer Orientations.
  • Keep all foster materials and programs up to date, and provide appropriate orientation materials, manuals, and handouts to all foster volunteers.
  • Coordinate booster vaccine, recheck, and drop off times with foster volunteers. Ensure foster animals’ follow-up vaccinations, dewormer, and any other medications are given on time.
  • Coordinate with the Shelter Medicine staff to ensure foster animals receive appropriate and timely medical checks and treatments for basic issues. Coordinate with the Veterinary Services Manager for foster animals to receive more advanced medical checks and treatments, if applicable.
  • Coordinate with the Offsite Adoption staff for foster animals to go to offsite adoption centers as applicable. Coordinate with foster families to have foster animals attend adoption events when appropriate.
  • Communicate effectively with staff and volunteers so pertinent parties are informed of foster care issues/information.
  • Work directly with the Shelter Manager and Veterinary Services Manager, to determine appropriate behavior and medical treatment needed for foster animals, both current and potential.
  • Monitor health and behavior of animals in foster care and report any important findings/issues to medical personnel or Shelter Manager as appropriate.
  • Ensure foster animal locations and information is accurate in Chameleon. Maintain appropriate record keeping of foster animals on a daily basis, including medications and current status.
  • Schedule any follow-up or re-check appointments for foster animals with the Surgery Center, including but not limited to spay/neuter surgeries, splint changes, suture removal, and radiographs rechecks.
  • Perform initial and annual state-required foster home inspections for all active foster volunteers and keeping an organized record of them.
  • Maintain and track supplies for foster care program.
  • Contribute to the monthly volunteer newsletter for all HSPPR volunteers with foster updates, events, and other pertinent information.
  • Communicates with potential volunteers and current volunteers in a timely manner.
  • Provides feedback to volunteers and communicates in a timely manner.
  • Attends Volunteer Information Sessions.
  • Assists with Volunteer Appreciation Week and other volunteer appreciation events.
  • Promotes a safe work environment, actively monitors the safety compliance of staff and volunteers; takes immediate action to correct hazards.
  • Represents the Society in a professional light and promotes our mission and goals.

Material and Equipment Directly Used

Knowledge and ability of common computer software.

Physical Demands

  • Regularly sits at computer station.
  • Must be able to lift a minimum of forty pounds with reasonable accommodations.
  • Typically stands, bends, stoops and crouches.
  • Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
  • Periodically drives a HSPPR Vehicle to perform duties
  • Occasional weekend and evening work.

Schedule Requirements

Required to work occasional evenings. 

Education/Experience Necessary


    • Requires high school diploma or equivalent.
    • Requires a minimum of two years of directly related experience in a sheltering environment and a minimum of one year of supervisory experience or equivalent experience.
    • Possess excellent communication and organizational skills.
    • Have a passion for animals.
    • Understand dogs, cats and small animals, as well as have first-hand experience with them.
    • Have the ability and the confidence to work with all types of dogs, cats, and small animals when needed.
